Rules and Guidelines for Using Our Services

Terms and Conditions

1. Interpretation

“The Company”, “We”, “Our”, or “Us” means EUFRO Travel. “The Applicant” or “You” means the Sole Travel Agent, Partnership or Company to whom services are sold by EUFRO Travel and its legal personal representatives, successors and permitted assigns.

2. Booking

  • Booking will be subject to availability. All reservations must be sent in writing to EUFRO Travel, and bookings will be confirmed in writing by EUFRO Travel.
  • Early bookings are recommended, preferably not less than a month before the start of the tour.
  • Any specific requests, such as special meals, allergies, and disabilities, should be sent to EUFRO Travel in writing.
  • EUFRO Travel reserves the right to request payment from the client to secure services if the supplier requires a deposit.
  • In case of unavailability in offered hotels, alternate accommodation will be arranged in a similar category hotel.

3. Terms of Prices & Payment

  • 30% advance payment against the proforma invoice is required 30 days prior to the commencement of the tour or before the first cancellation deadline of any hotel, whichever comes first. The advance payment is essential to reconfirm hotel bookings. Without payment, the hotel cannot be guaranteed, and all hotels and services may be canceled.
  • The remaining 70% payment must be made as per the schedule shared by EUFRO Travel within 15 working days prior to the commencement of the tour.
  • With the initial advance payment, EUFRO Travel can only confirm accommodations, which are non-refundable under any circumstances as they cover all cancellation liabilities incurred by us. Other services like transportation, guide services, and sightseeing tours (except difficult entrances) will remain pending until 100% payment is received.
  • The exchange rate will be calculated using xe.com +1 RE if invoice amounts are paid in India by the clients. GST will be added to the final package amount.
  • EUFRO Travel reserves the right to adjust prices due to reasons beyond our control, such as new or increased charges or taxes, general price alterations, fuel increases, and currency/exchange rate fluctuations. Tour prices will be adjusted if the exchange rate increases by more than 5% between the initial booking and the tour departure.
  • We operate on a 100% pre-payment basis before departure. Vouchers or tickets will be issued only after 100% payment confirmation is received. Vouchers or tickets will be delivered to the client, tour leader, or shared at the first hotel where the group arrives.
  • From 1st April 2020 onwards TCS (Tax Collected at Source) will be collected from customers for any full or partial payments, the amount is not included in our package and it will be refunded by GOVT of India
  • TCS 5% if payment is less than 07 Lac or will charge 20% TCS above 07 Lacs of Payment on booking.

4. Child Policy

  • Children aged 0-2 years (infants) will be free of charge.
  • Children aged 2-11.99 years without a bed will be charged 50% of the adult price.
  • Children aged 2-11.99 years with a bed will be charged 75% of the adult price.
  • Guests aged 12 years and above will be considered adults.
  • Most European hotels do not have family rooms to accommodate four guests in a single room. Therefore, it is subject to availability. If family rooms are unavailable, we will offer two double/twin rooms instead of one single room for the family, and any price increase must be paid by the client/agent.
  • A maximum of one extra bed can be added to a single room.

5. Cancellation Terms

  • All cancellations must be in writing and sent to EUFRO Travel via email. Cancellations can only be made during EUFRO Travel office hours (Monday-Friday, 09:00-17:00 hrs). Cancellations made outside office hours, during weekends, or on bank holidays will be considered received on the next working day.
  • Free cancellations (of either the entire tour or single services) can be made up to 30 days prior to the start of the tour. For cancellations made less than 30 days before arrival, the following charges apply:
    • 29–15 days before arrival: 50% of the total price.
    • 14–7 days before arrival: 70% of the total price.
    • Less than 7 days before arrival: 100% of the total price.
  • For certain services (e.g., ferries, train tickets, and difficult entrances), where advance payment is required to secure bookings, a 100% cancellation charge applies if the client cancels after confirmation.
  • Changes to the travel date in a booking are considered withdrawals and will be treated as a new booking.

6. Withdrawal from Contract by EUFRO Travel

  • In unforeseen situations such as strikes, force majeure, epidemics, or disasters, EUFRO Travel reserves the right to cancel the booked tour. Normal cancellation terms will apply for services that cannot be consumed, and no further claims will be accepted.
  • If EUFRO Travel cancels a tour due to unforeseen situations, we will offer a similar tour within the given time if possible. The client is not obliged to accept the new offer.

7. Change in Program

  • EUFRO Travel reserves the right to change certain travel services already agreed upon with the client or travel agent, such as accommodations, transportation, methods of transport, excursions, etc., to a higher standard at the time of booking confirmation.

8. Long Distance Coach (LDC) – EU Charter or Local Coaches

  • Maximum 12 working hours per day (duration for which the LDC is at disposal).
  • Maximum 9 driving hours. After every 4.5 hours, the driver must rest for a minimum of 45 minutes. The break can be split into 2–3 breaks of at least 15 minutes each.
  • Night rest is 12 hours.
  • The tour leader must ensure passengers wear seat belts and do not move around the coach.
  • The tour leader must ensure the group keeps the coach neat and clean. Rubbish/dirt should not be thrown inside the coach.
  • Indian itineraries are tight. Adherence to timing is vital to comply with EU regulations. Drivers cannot drive outside EU regulations and may discontinue services due to overdriving.
  • Tips are not included. The tour leader is requested to hand over tips to the driver without fail. The minimum expected tip is EUR 2 per person per day.
  • In case of overdrive, local coaches may need to be arranged after dinner.
  • LDC can run twice a week for 13 or 14 hours (active hours of LDC) under the following conditions:
    • The driver has had continuous rest for 3 hours on the day of extension.
    • 13 to 14 hours of driving is not possible on consecutive days.
  • Non-compliance with the above regulations may result in:
    • The coach being impounded as per European law.
    • The driver being penalized.
    • The driver delaying the start of the coach the next day to adjust driving hours.
    • The coach company’s license being revoked.
  • EUFRO Travel will not be responsible for any risks associated with non-compliance with the above regulations. The tour leader/travel agent is responsible for informing the group to adhere to the timings suggested by us. If the group does not follow the timings, the tour leader has the authority to leave group members on the road who do not adhere to the program timings. If the coach is impounded due to non-compliance with European traffic regulations, we are not responsible for arranging alternative transportation at that time.
  • Any extra services due to changes in flight timing, delays, or non-adherence to rules and regulations may result in additional charges, which will be invoiced separately.
  • Wi-Fi in LDC will be charged extra as per the data plan. LDC coaches with Wi-Fi facilities will be booked for groups upon request at the quotation level, but this is subject to coach availability and cannot be guaranteed.
  • Most LDCs have toilets, but their use is restricted to emergencies only.
  • Most LDC drivers do not speak fluent English but can communicate understandably with the tour leader.
  • Driver and guide tips must be paid on the spot by the tour leader. Driver tips are EUR 2 per person per day, and guide tips are EUR 2 per person per service. These are not included in the offer.
  • Eating, smoking, and drinking (alcohol or any other beverages except water) on the coaches are strictly prohibited.

9. Food and Beverage

  • We will use our contracted restaurants at all locations and cannot guarantee specific restaurants. We will try to book requested restaurants if possible, and any supplement costs will be communicated in advance.
  • For high-end fine dining restaurants, please inform us in advance so we can advise you of any supplement costs.
  • Breakfast at hotels will be provided in the main hall or a separate group room, depending on the hotel’s discretion.
  • For packed lunch deliveries before 08:00 hrs, extra delivery charges may apply, which will be communicated upon confirmation.
  • Tea/coffee kettles in rooms are subject to availability and cannot be guaranteed. We can request these facilities at the time of booking, but their availability is not guaranteed.
  • Continental Breakfast shall be serve at hotels which includes tea, coffee, cereal, juice, bread, butter, jam, hot eggs. The EUFRO Travel does not have any role in breakfast menu as it’s complimentary that hotels offers with the accommodations. We can’t make changes in the breakfast as it’s a fixed menu by the hotels.

10. Other Conditions

  • We must receive the final rooming list at least one week prior to the departure date, including the total number of adults and children. If this information is not received within the timeframe, we will confirm all adult tickets and charge accordingly.
  • We are not responsible for any lost or forgotten items. EUFRO Travel shall not be held liable for retrieving any lost or forgotten items during the tour.
  • Complimentary Wi-Fi facilities cannot be guaranteed in any hotel, as it depends on the hotel’s policy.
  • Air conditioning in rooms is not common in Germany, Austria, and Switzerland. Air conditioning cannot be guaranteed in any hotel in Europe or Scandinavia.
  • Considering traffic situations and driving hours, sightseeing/orientation tours may be revised or changed if it is not possible to cover the day within LDC regulations. The tour leader must manage driving hours, and LDC regulations will not be compromised under any circumstances.
  • Eiffel Tower visits are subject to availability. If tickets are unavailable, the tour leader must purchase them on the spot.
  • Any damages to hotel or supplier property by the group must be claimed or settled by the group or agent on the spot. EUFRO Travel is not responsible for absorbing these losses.
  • Accommodation taxes levied by city/county governments cannot be collected by us and must be paid directly by the tour leader at the hotel.
  • We can only share hotel confirmations for visa purposes once we receive the initial payment to reconfirm bookings. It may take up to a week to arrange visa letters along with hotel confirmations.
  • EUFRO Travel shall not be responsible for any accident, death, damages, breakdown, losses or irregularity that could happen while organizing or conducting the tour.
  • EUFRO Travel shall not be responsible for unforeseen situation like weather conditions, war, terrorist attack or any other cause, all such losses or any such expenses must be covered by the client/customer.
  • There will not be any refund for services i.e. meals, sightseeing, tickets etc. not utilized on your tour.
  • If modifications to the tour itinerary are required due to external factors beyond the Company’s control, the Customer accepts that no claims shall be made for any missed services, even if those were previously confirmed or listed in the itinerary.

Changes to These Terms and Conditions

We reserve the right to change or modify our terms and conditions at any time. If we make any changes that affect our website or services, we will inform you via your registered email. These changes will be effective immediately for all business partners, whether new or existing. By continuing to access or use our services after these changes, you constitute acceptance of the modified terms of use.
